About The Role

The basic purpose of the job and its primary objectives:

  • To act as a gateway for all new work, utilising technical knowledge and expertise to ensure instructions are correctly identified and prioritised, following agreed client escalation processes and liaising with key stakeholders as required.
  • To provide file and general administration support to all departments of the firm ensuring all our service level agreements (SLA’s) and management information (MI) deadlines are met.

Main responsibilities:

  • To undertake all administration duties as requested and be prepared to use a high degree of self-management and initiative.
  • To be flexible and be able to adapt to any given business need that could include the following, and any other duties as required
  • Liaising with clients, third parties and courts regarding new instructions via telephone including requesting papers and ascertaining any additional/missing Information.
  • Collating information and completing vetting process as required, managing client responses and documenting accurately in order for keying teams to input.
  • Accessing various portals (i.e. Aviva Exceed, ERS) for additional information.
  • MI reporting to relevant Client Partners.
  • Deal with and prioritise incoming proceedings (including perusal of proceedings for client references or correspondence) and ensure they are passed to the correct teams.
  • Liaise with Claimant Solicitors regarding any proceedings we are unable to determine following agreed escalation process.
  • Prioritise work according to urgency (i.e. AOS dates, SLA, specific client requests)
  • File AOS, NOI and NOA as required.
  • Liaise with clients/fee earners regarding duplicate files/conflicts of interest
  • Conduct daily count of remaining vetting work, and report on SLA’s.
  • Investigate complex instructions via client/third party liaison
  • Track and report on progress of new instructions via work logs, vetting tracker and other appropriate tools.
  • Ad-hoc admin support
  • To provide support to Fee Earners as and when required. 
  • To use all office equipment efficiently & competently.
  • To ensure the confidentiality of all the firm’s and client’s documentation and information in compliance with all DPA requirements.

Other responsibilities:

                In addition the job holder is required to perform other responsibilities assigned by the management as and when requested which is not exhaustive and may include working in other operational support teams.
