The basic purpose of the job and its primary objectives

To assist in the provision and maintenance of an effective and responsive HR service.  To undertake administrative duties to support the efficient running of the HR Admin team, and to promote best practice systems and procedures.

 
The main duties and responsibilities of the role are:
  • To support the HR Team by dealing with queries via email, telephone and HR ServiceDesk.

  • To process personnel details for all new employees, ensuring that data is accurately entered on the HR system and subsequently filed appropriately.

  • To assist with the pre-employment check process for new starters.

  • To produce offer documentation for new employees.

  • To assist with the administration of employee benefits, including (but not limited to) the firm’s pension scheme, private medical insurance and the bike-to-work scheme.

  • To update and maintain all computerised HR information systems personnel files to ensure that all data held is accurate.

  • To assist in the production of precedent letters relating to employment changes and any other documents requested by the HR team.

  • To file probation and appraisal documentation, and record receipt of the same.

  • To undertake the administration for leavers, including sending confirmation letters, processing leavers on the intranet and the HR system, and archiving data.

  • To update HR records with regards to sickness and absence including assisting with daily sickness calls.

  • To assist with the production of ad-hoc and standard MI reports, as requested by the HR Director and the rest of the firm.

  • To undertake filing for the HR Team, including documentation for employee personnel files, and archiving.

  • To undertake the administration for internal employee changes and change of details, informing the relevant people of the same and updating the HR system when required.

  • To assist with the administration of work experience and vacation student placements.

  • To assist with HR Admin administration tasks including the processing of study leave and travel loans.

  • To assist with HR Admin Team projects as and when required.

  • To undertake any additional duties as requested by the HR Admin Team Leader or the HR team to ensure the effective delivery of the HR service.

Our full time hours are 35 hours per week, Monday – Friday 7 hours per day working flexible hours between 8am to 6pm.
